Privacy notice

What we collect, why, who processes it, and how to make a request.

Who we are

This notice covers immacel.com and the Immacél dashboard. Questions and requests about your information go to support@immacel.com, which a person reads.

What we collect

Visiting the site
Page address, the page you came from, your browser's user-agent and language, and an approximate country inferred from your time zone, recorded as page views. A short-lived session cookie groups one visit's page views; our network provider sets a security cookie used to tell people from automated traffic, and our hosting provider sets a technical cookie. We use no advertising cookies.
Applying
Agency name, your name and role, work email, trailing commission income, seat count, billing country (and UAE jurisdiction, if applicable), expected monthly leads, the tier you ask for, an optional referral code and notes, and the Terms of Service version you accepted with the time you accepted it.
Your account
Email address, sign-in attempts (time, IP address, approximate country, browser), which we use to detect unusual access, and two-factor enrolment. Passwords are handled by our authentication provider; we do not keep them in readable form.
Using the dashboard
What you and your agents create or load: leads, buyer inquiries sent to your intake address (name, email, phone, property interest), sourcing criteria, outreach messages and replies, deals and the commission income you report, agreements and their signing events, questions you ask the agents and their answers, notification preferences, and an audit log of account activity.
Billing
Payment status, amounts, and the payment processor's references for your subscription and charges. Card details are entered on the payment processor's page; we do not receive card numbers.
Agencies we contact
To find agencies that may want the service, we collect business contact details that agencies publish on public property-listing portals: business name, phone, email, licence number, and listing volume, together with any reply to our outreach.

Why we use it

To review applications, provide and secure the service, send the emails the service depends on (invitations, agreements, billing notices), bill and record each charge in your ledger, check contact rules before outreach, keep an audit trail, answer support requests, and see how the site performs.

We do not sell personal information.

Automated processing

The agents use AI processing providers to draft outreach emails and read replies, to answer the questions you ask in the dashboard, and to summarise activity. What they receive is the information needed for that task: for example the agency details for an outreach draft, or your workspace figures and your question for an answer.

Who processes it for us

Cloud database and hosting providers, email delivery providers, AI processing providers, a payment processor, an electronic-signature provider, and our website analytics and network providers. A full list naming each one is available on request to support@immacel.com.

We also disclose information where the law requires it.

Where it is kept

Our operational database is hosted in Japan. Other providers above may store or process information in other countries; the full list, with locations where the provider states them, is available on request.

How long we keep it

We have not yet set fixed retention periods. Today, account and workspace records are kept while your account exists, and when an account ends its records are archived rather than erased. The account audit log is built so that entries cannot be edited or deleted. We will update this notice when retention periods are set.

Your requests

To ask for a copy of your information, a correction, or deletion, email support@immacel.com from the address on your account (or say which agency or email address the request is about). A person replies; first replies follow the support hours on our support page. If we cannot delete something, for example an audit log entry or a billing record, we will tell you what we keep and why.

Changes

When this notice changes we update the version and date below. Consent records store the version that was shown.
